How to use the Add User window
Before creating forms, it is a good idea to set up your users. This can be done later, but until you have users and roles set up, the forms you create cannot be accessed by anyone. Everyone using the administrator site and/or the mobile app need to be set up as users.
This window also allows you to create a product support and consulting user. This is helpful when OmniByte support or consulting needs a user to log into your site to troubleshoot or perform upgrades. Keep in mind that when setting up a product support or consultant user, access to this user and its password can be turned off/changed at any time. Only four active product support or consulting users are allowed at one time. However, this user doesn't affect your total license count.
- From the Administration menu, click Users to open the Users page. In the upper right, click (Add User). The Add User window appears.
- On the User Information tab, enter a username and display name for the user you are setting up. The username is for signing into the app on the device or the administrator site for administrators (if you use both, the same username can be used). The display name is shown on the other pages and windows on the administrator site.
- Create a default password for the user to use when logging in. We recommend that users change their password after the initial login.
- Enter an email address. Emails are required and are used on the email setup for a form.
- If this user will be using the administrator site, mark Administrator. The Admin Permission field becomes enabled. Select the permission type for the user.
If the Administrator option is not marked, this user cannot access the administrator pages to create and administrate forms for your organization. - Specify the license status:
Mark Licensed, then specify Active or Inactive. Inactive licensed users count towards your user count, but unlicensed users do not.
Mark Unlicensed if the user is unlicensed. This information is used when a group of AD users is added. For example, you have 200 licenses and 30 already exist in the system. You sync 200. The last 30 of those are unlicensed since you cannot go over 200 licenses. - If setting up a user for an OmniByte support or consultant, toggle the Product Support or Consultant User option on. Then select the license status for this user: Active or Inactive. Four active product support or consulting users are allowed at one time. Once the active user count is reached, a message will appear that the number of active product support or consulting users has been exceeded.
- Click the Roles tab to assign roles to this user. Forms are role-based. Each user is assigned a role; then, forms are assigned a role. When the user logs into the app, the forms assigned to their role are shown on the device. A user can have multiple roles.
- Click Save.
