How to create form level validations

Some form fields may need to meet specific criteria before the form can be submitted. For example, you might require a date field to match today’s date, or set validations on the minimum and/or maximum number of rows in a dynamic table. If a validation requirement isn’t met, the form cannot be submitted until the issue is corrected.

Note: Form validations are not available on basic forms.

You can configure an unlimited number of validations on inputs that require user entry, with the exception of the following formatting types and inputs:

  • Auto-Incrementing Number
  • Conditional Field – Fields in a condition can be validated but must be shown to be validated.
  • Embedded Image
  • GPS Coordinates
  • Header
  • Link
  • Lock
  • Media
  • Page Break
  • Paragraph
  • Section
  • Signature
  • Sketchpad

To set up form validations: 

  1. From the toolbar, click (Additional Operations) and select Form Validations to open the Form Validations window.
  2. Click + under Input Validations to add an input validation.
  3. Select the field to apply the validation to, the operator, value type and value for the field. You can add as many validations as needed. Only Date, Date/Time Stamp, and Time inputs use the Value Type field. Value types are used to choose a value or another field to compare.
  4. In the Alert when not met field, enter the message that will appear when a validation condition is not satisfied. These messages are not automatically translated, so be sure to write them in the language you want users to see.

    We recommend writing clear and specific alert messages to help users understand what needs to be corrected before the form can be submitted. For example:

    • Clear: "The form cannot be submitted. The Date field must be equal to today’s date."

    • Too vague: "Form cannot be submitted."

    The first example clearly identifies the issue and the field that needs correction, making it easier for users to resolve the problem.

  5. Click + under Table Row Validations to specify a minimum and maximum number of rows for a table.
  6. Select the table to apply the validation to, the operator, and value for the table.
  7. In the Alert when not met field, enter a message to appear when the validation is not met.
  8. Click OK to save your entries, the click (Save) to save the form.
  9. In the app, when you submit a form that doesn't meet the specified requirements, a Form Issues message appears. Click OK
  10. Click the Alert icon to view the specific validation errors.
  11. The form will be saved in the Saved/received forms folder. Correct the issues and submit the form again.
