How to add a dispatched form

Dispatched forms allow administrators or schedulers to assign specific forms to users—typically field technicians or team members—based on a schedule or workflow need. Dispatching forms streamlines task management by ensuring the right forms are sent to the right users at the right time. Whether scheduled in advance or dispatched immediately, forms can include pre-filled information, scheduled time blocks, and user-specific notes. Dispatched Forms help maintain workflow consistency, improve communication, and ensure timely data collection across teams.
  1. From the Dispatched Forms or Schedule and Dispatch page, click + Add to open the Dispatch Form window. Alternatively, double-click a time slot in the calendar on the Schedule and Dispatch page to open the window. The user, date, and time fields will auto-populate based on where you clicked in the calendar.
  2. Select the form that you want to dispatch.
  3. Select the user to who will receive the form.
  4. Enter the date and time for when the form should be dispatched. These fields are optional—if left blank, the form is dispatched immediately upon clicking Dispatch, and the current date and time are recorded as the scheduled time.

    Note: If you enter a date, you must also enter a time, and vice versa.

  5. Enter the number of hours to block off. Choose a color to visually represent the block on the schedule. While small time blocks are allowed, using very short durations is discouraged, as they can be difficult to interact with on the calendar.

  6. Toggle the Notify User When Form is Dispatched to send a notification to the technician’s device. When enabled, the technician will receive notifications when a form is dispatched, updated, or deleted. Use discretion to avoid excessive notifications
  7. Enter any relevant notes for the user. Notes are only visible to the assigned user and do not appear on the submitted form or report. Any note added here will also be included in the notification sent to the technician.
    Note: If the form includes an auto-incrementing number, it is retrieved when the form is dispatched or when the Get Number Value icon is clicked. If the icon is not used, the number will automatically be generated during dispatch and shown on the technician’s version of the form.
  8. Scroll down the Dispatch Form window to pre-fill parts of the form that the technician should complete.
  9. Click Dispatch to immediately send the form to the technician’s device. Click Save to save the form for future dispatch.
